Office Administrator – Sydney

Verbind Partners is representing a distinguished UHNW family in Sydney who are seeking an experienced and professional Office Administrator/Receptionist to join their Family Office on a permanent basis.

This is a front-of-house role that requires a polished, highly organised, and proactive individual who can confidently manage both guest services and administrative support. Acting as the first point of contact for visitors, clients, and stakeholders, you will ensure the office runs seamlessly and projects a welcoming, professional environment at all times.

Day to day, you will be responsible for greeting guests, managing calls and correspondence, and supporting executives with diary coordination and logistics. You will also assist with office operations such as organising supplies, preparing meeting rooms, coordinating travel, and maintaining high standards of hospitality. The role requires discretion, initiative, and the ability to balance multiple priorities in a fast-paced environment.

Key Responsibilities

  • Welcome and manage visitors, clients, and guests,

  • Handle phone calls, emails, and correspondence, directing inquiries appropriately

  • Coordinate meeting room bookings, staff schedules, and appointments

  • Provide administrative support including mail handling, filing, photocopying

  • Maintain the office and kitchen environment to a high standard

  • Assist executives with travel bookings, itineraries, and logistics

  • Act as a point of coordination for staff attendance, office standards, and compliance

Requirements

  • Minimum 3–5 years’ experience in a reception or office administration role

  • Professional presentation with excellent communication and interpersonal skills

  • Strong organisational and multitasking abilities with high attention to detail

  • Proficient in Microsoft Office and confident using office systems

  • High level of discretion when dealing with sensitive information

  • Proactive, adaptable, and solutions-focused, with a positive attitude

Compensation & Package

  • Salary: $80,000 – $90,000 per annum (depending on experience)

  • Paid holidays and benefits

  • Full-time office hours, Monday to Friday

  • Location: Sydney, NSW

  • Start Date: Immediate
